Team evaluation checklist

Choose for the workflow. Test before the rollout.

A promising demonstration is not an implementation plan. Use these questions to turn a shortlist into a decision your team can explain.

01

Define the task

What needs to be done, by whom and with which inputs? Name one representative workflow rather than an entire department.

02

Set the acceptance criteria

What would count as a useful output? Agree on quality checks, review steps and unacceptable errors before testing.

03

Check the data and control requirements

What data will enter the tool? Confirm access, retention, deletion, human review and contractual terms with the provider and the relevant people in your organisation.

04

Confirm the integration, not just its logo

Which actions and data flows must the integration support? Verify the required plan, permissions and failure handling.

05

Compare total costs on the same basis

Include seats, usage, required plans and implementation work. Separate a trial, a recurring free tier and an annual commitment.

06

Run a bounded pilot

Try the same representative task across your shortlisted options. Record the result and the work needed to correct it.

07

Keep a reversible decision

Know how to export data, switch provider and stop the workflow. Decide who owns ongoing review.

This is a decision framework, not a compliance certification, implementation quote or promise of a reply from a service team.

Put the differences to work.

Turn what you have learned into a shortlist for the task you need to solve.
